Privacy Policy, Terms & End User License Agreement

This Privacy Policy, Terms of Use, and End User License Agreement (“Agreement”) applies to the LedGix ecosystem, including LedGix Expense Tracker, LedGix ERP, LedGix Fit, LedGix Fleet, LedGix websites and web applications, mobile applications, APIs, integrations, and future LedGix-branded services (the “Services”).

Welcome to LedGix

This Agreement explains how LedGix collects, uses, stores, protects, and processes information when you access or use LedGix websites, mobile applications, web applications, software, APIs, integrations, and related services.

By accessing, installing, registering for, purchasing, subscribing to, or otherwise using any LedGix Service, you acknowledge that you have read and understood this Agreement.

1. Information We Collect

The information collected depends on which LedGix Service you use and the features you enable.

1.1 Account Information

When you create or use a LedGix account, we may collect information such as:

  • Name
  • Email address
  • User ID
  • Authentication information
  • Profile information
  • Organization or company information
  • User role and permissions
  • Account preferences
  • Subscription or entitlement status

Passwords, where applicable, are stored using secure cryptographic techniques rather than as readable plain text.

Where third-party authentication such as Apple or Google Sign-In is supported, LedGix receives only information made available by that authentication provider and authorized for use with the Service.

1.2 Financial and Accounting Information

Certain LedGix products may process financial or accounting information entered by users, including:

  • Income, expenses, account balances, and transactions
  • Budgets, financial goals, and loans
  • Receivables and payables
  • Customers and suppliers
  • Quotations, invoices, bills, receipts, payments, and refunds
  • Journal entries, chart of accounts, and tax information
  • Inventory transactions and financial reports

LedGix does not represent itself as a bank, financial institution, investment adviser, tax authority, or payment institution unless explicitly stated for a particular regulated service.

Information generated by financial calculators, accounting systems, reports, dashboards, or other LedGix functionality is provided as a tool to assist users and should not be considered professional financial, legal, investment, accounting, or tax advice.

1.3 Business and Organization Data

Business-oriented LedGix Services may process information including organization details, legal entities, branches, departments, employees and staff, customers, suppliers, products and services, inventory, vehicles, assets, memberships, work orders, maintenance records, business documents, internal approvals, and operational records.

Organizations using LedGix are responsible for ensuring that they have lawful authority to enter, upload, process, or otherwise use information concerning their employees, customers, suppliers, contractors, members, or other individuals.

1.4 Device and Technical Information

We may automatically collect limited technical information necessary for operating, securing, diagnosing, and improving the Services, including device type, operating system, application version, browser type, device identifiers, IP address, language, time zone, crash information, diagnostic information, performance information, and security events.

1.5 Usage Information

We may collect information concerning how users interact with the Services, including features accessed, screens or pages viewed, session activity, application events, error events, login events, feature usage, subscription status, and general performance metrics.

This information may be used to maintain, secure, troubleshoot, analyze, and improve LedGix.

1.6 Location Information

Some LedGix Services may use location information when required for a specific feature. Depending upon the application and permissions granted by the user, this may include approximate or precise location.

Location access is requested only when required by functionality made available through the applicable Service. Users may control location permissions through their device settings. Disabling location access may prevent location-dependent features from functioning correctly.

1.7 Files, Images and Documents

Where supported, users may upload or generate receipts, invoices, documents, profile images, product images, attachments, supporting evidence, and business records. These files are processed for the purpose for which they were uploaded or generated.

2. How We Use Information

LedGix may process information to:

  • Provide and operate the Services
  • Authenticate users and maintain accounts
  • Synchronize user data and process business transactions
  • Generate reports and documents
  • Provide requested application functionality
  • Manage subscriptions and entitlements
  • Maintain organization and user permissions
  • Prevent unauthorized access and detect fraud, abuse, and security incidents
  • Diagnose crashes and technical problems
  • Improve performance and reliability
  • Provide customer support and send essential service notifications
  • Maintain audit and security records
  • Comply with applicable legal requirements
  • Protect LedGix, our users, and third parties

We do not use information in a manner materially inconsistent with this policy without an appropriate legal basis or notice where required.

3. Data Ownership

As between LedGix and the user or subscribing organization, users and organizations retain ownership of the business and personal data they submit to the Services, subject to applicable law and third-party rights.

Using LedGix does not transfer ownership of your business records to LedGix.

You grant LedGix the limited rights necessary to host, transmit, process, back up, synchronize, display, and otherwise handle that data for the purpose of operating the Services.

4. Multi-Tenant Business Data

Certain LedGix products operate using multi-tenant architecture. Organizations are logically separated within the system, and access controls are designed to prevent users from accessing another organization’s information without authorization.

Organization administrators may control access granted to their employees, staff, contractors, accountants, managers, or other authorized users. Users accessing LedGix through an organization acknowledge that their organization’s administrators may have access to information created within that organization’s account.

5. Data Sharing

LedGix does not sell personal information to third parties.

We may share or process information with service providers where reasonably necessary to operate the Services. Depending upon the LedGix product and configuration, these providers may include services for cloud infrastructure, database hosting, authentication, file storage, notifications, crash reporting, analytics, email delivery, payment processing, application distribution, mapping or location functionality, and business integrations.

These providers process information according to their respective agreements, privacy policies, and applicable laws.

6. Third-Party Integrations

LedGix Services may integrate with external platforms, APIs, ERP systems, payment processors, authentication providers, logistics services, or other third-party systems.

When you intentionally connect a third-party service, information may be exchanged between LedGix and that service as necessary to perform the requested integration.

Third-party services are governed by their own terms and privacy policies. LedGix is not responsible for the independent privacy practices, availability, security, or conduct of third-party services.

7. Apple Services

LedGix applications distributed through Apple’s App Store may use Apple-provided functionality such as Sign in with Apple, Apple Push Notification service, StoreKit, In-App Purchases, App Store subscriptions, and iCloud or related Apple services where implemented.

Information processed directly by Apple is governed by Apple’s applicable terms and privacy policies.

8. Google Services

LedGix applications distributed through Google Play may use Google-provided functionality such as Google Sign-In, Firebase, Firebase Authentication, Cloud Firestore, Firebase Crashlytics, Firebase Analytics, Firebase Cloud Messaging, Google Play Billing, and Google Play Services.

The exact services used may differ between LedGix applications. Information independently processed by Google is subject to Google’s applicable terms and privacy policies.

9. Payments and Subscriptions

Some LedGix Services may require payment or a subscription. Payments may be processed by Apple App Store, Google Play, authorized payment processors, authorized LedGix billing systems, or authorized resellers or business partners.

LedGix may receive transaction information such as subscription status, product purchased, transaction identifier, renewal status, or entitlement status.

Where payments are processed directly by Apple, Google, or another payment processor, LedGix generally does not receive your complete payment-card credentials.

Subscriptions may automatically renew unless cancelled according to the rules of the platform or payment provider through which they were purchased.

10. Data Security

LedGix uses reasonable technical and organizational measures designed to protect information. Depending on the Service, these measures may include encrypted communications, authentication controls, role-based access control, tenant isolation, password hashing, secure API authorization, database access controls, audit logging, session management, backup procedures, security monitoring, and restricted administrative access.

However, no internet-based service, computer system, database, or storage mechanism can guarantee absolute security. Users are responsible for protecting their passwords, devices, authentication credentials, recovery mechanisms, and account access.

11. Data Retention

We retain information for as long as reasonably necessary to provide the Services, maintain active accounts, meet contractual obligations, maintain legitimate business records, resolve disputes, prevent fraud and abuse, maintain security and audit records, and meet legal, accounting, or regulatory obligations.

Retention periods may differ depending upon the type of information and Service involved. Backups may retain information temporarily after deletion until backup retention cycles expire.

12. Account and Data Deletion

Where account deletion is available, users may request deletion through the relevant application, via the Data Deletion page, or by contacting LedGix.

Subject to applicable legal and contractual requirements, deletion may include user profile information, personal application data, associated cloud records, authentication records, and user-generated content.

Certain information may be retained where reasonably necessary for financial and accounting records, legal compliance, fraud prevention, security, dispute resolution, enforcement of agreements, and legitimate business recordkeeping.

For organizational accounts, deletion requests may need to be handled by the organization’s authorized administrator.

13. Your Privacy Rights

Depending upon your jurisdiction, you may have rights concerning your personal information, including the right to request access, correction, deletion, restriction of processing, object to certain processing, request data portability, withdraw consent where processing depends upon consent, and lodge a complaint with an applicable data protection authority.

These rights may be subject to legal exceptions. Requests can be submitted using the contact information provided below.

14. Children’s Privacy

LedGix Services are generally intended for adults, businesses, professionals, and organizations unless a particular LedGix product expressly states otherwise.

LedGix does not knowingly collect personal information from children below the minimum age permitted by applicable law without appropriate authorization or consent.

If we become aware that information has been collected from a child contrary to applicable requirements, reasonable steps will be taken to delete or otherwise appropriately handle that information.

15. International Data Processing

LedGix Services may use infrastructure or service providers operating in different countries. As a result, information may be processed outside the user’s country of residence.

Where required, LedGix will use appropriate mechanisms and safeguards for international processing or transfers of personal information.

16. Cookies and Web Technologies

LedGix websites may use cookies, local storage, session storage, or similar technologies for authentication, session management, security, user preferences, performance, analytics, and application functionality.

Essential technologies may be required for the Service to operate. See also the Cookie Policy.

17. Notifications

LedGix applications may send security notifications, account notifications, transaction notifications, workflow notifications, reminders, operational notifications, subscription notifications, and push notifications.

Where applicable, notification permissions can be controlled through application or device settings. Certain administrative or security communications may still be sent where necessary to operate an account.

18. Financial and Business Disclaimer

LedGix provides software tools. Unless explicitly agreed otherwise in writing, LedGix does not provide financial advice, investment advice, tax advice, legal advice, audit opinions, banking services, insurance services, or fiduciary services.

Calculations, reports, forecasts, tax estimates, financial statements, dashboards, and other outputs depend upon information supplied by users and system configuration. Users remain responsible for verifying information before relying upon it for financial, tax, legal, regulatory, operational, or investment decisions.

19. END USER LICENSE AGREEMENT

This section constitutes the LedGix End User License Agreement (“LedGix EULA”) for LedGix applications except where another agreement expressly applies.

19.1 License

Subject to compliance with this Agreement, LedGix grants you a limited, revocable, non-exclusive, non-transferable, and non-sublicensable license to install, access, and use the applicable LedGix application for its intended purpose.

The application is licensed, not sold. You receive no ownership rights in the LedGix software.

19.2 Restrictions

Except where applicable law expressly permits otherwise, you may not:

  • Copy or redistribute LedGix software
  • Sell, rent, lease, sublicense, or commercially redistribute the software
  • Reverse engineer, decompile, or disassemble the software
  • Attempt to obtain its source code
  • Circumvent authentication or security controls
  • Access another user’s or organization’s data without authorization
  • Probe or exploit vulnerabilities
  • Interfere with Service availability
  • Introduce malicious software
  • Use automated systems to abuse the Services
  • Circumvent subscription or licensing controls
  • Remove copyright or proprietary notices
  • Use LedGix intellectual property without authorization

19.3 Ownership

LedGix and its licensors retain all rights, title, and interest in the Services, including software, source code, application architecture, user interface, designs, logos, trademarks, documentation, APIs, databases and database structures, proprietary algorithms, and original content.

User-owned data remains subject to Section 3 of this Agreement.

19.4 Updates

LedGix may provide updates, bug fixes, security updates, improvements, modifications, or new versions. Certain updates may be necessary for continued use of the Services.

19.5 Suspension and Termination

LedGix may suspend or terminate access where reasonably necessary because of material violation of this Agreement, fraud, abuse, unauthorized access, security threats, non-payment, illegal activity, or misuse of the Services.

Upon termination, the license granted under this Agreement terminates.

20. Apple App Store Terms

For LedGix applications obtained through the Apple App Store, Apple’s applicable App Store terms also apply.

Where LedGix does not provide a custom EULA through App Store Connect, Apple’s Standard Licensed Application End User License Agreement applies to the application.

For avoidance of doubt, where the LedGix EULA applies to an Apple-distributed application:

  • The agreement concerning the LedGix application is between the user and the application provider, not Apple, except for Apple’s own applicable terms.
  • LedGix, and not Apple, is responsible for the LedGix application and its content.
  • The license is limited to a non-transferable right to use the application on Apple-branded products owned or controlled by the user as permitted by Apple’s applicable Usage Rules, including any usage permitted through Family Sharing or similar Apple mechanisms.
  • LedGix is responsible for application maintenance and support to the extent required by applicable law or the applicable agreement.
  • Apple has no obligation to provide maintenance or support services for LedGix applications.
  • LedGix, and not Apple, is responsible for addressing claims concerning the application, including product liability, regulatory compliance, consumer protection, or intellectual-property claims, to the extent required by applicable law.
  • Users must comply with applicable third-party agreements when using the application.
  • Apple and its subsidiaries are intended third-party beneficiaries of the applicable Apple-related provisions of this EULA and may enforce those provisions as permitted by Apple’s requirements.

Use of applications downloaded through the App Store remains subject to applicable Apple Media Services terms and Usage Rules.

21. Google Play Terms

For LedGix applications downloaded or purchased through Google Play, use of Google Play itself remains subject to Google’s applicable Google Play Terms of Service and policies.

The LedGix EULA contained in this Agreement governs the license between LedGix and the user for LedGix software, subject to any mandatory terms imposed by Google Play or applicable law.

Where a LedGix application is distributed through Google Play:

  • The application is licensed to the user and is not sold.
  • Google is not the developer or owner of LedGix applications.
  • LedGix remains responsible for its applications, subject to applicable Google Play requirements.
  • Purchases and subscriptions processed through Google Play are additionally subject to Google Play billing and subscription rules.
  • Users must comply with applicable Google Play terms and policies.
  • Refunds processed by Google Play are subject to Google’s applicable refund policies.
  • Google may independently process information associated with Google Play, Play Services, billing, device security, or other Google functionality according to Google’s policies.

Nothing in this Agreement modifies or overrides mandatory Google Play terms applicable to users or developers.

22. Subscriptions, Cancellation and Refunds

Subscription terms may vary between LedGix products.

Where subscriptions are purchased through Apple: cancellation, renewal, billing, and refunds are governed by the applicable App Store mechanisms and Apple policies.

Where subscriptions are purchased through Google Play: cancellation, renewal, billing, and refunds are governed by applicable Google Play mechanisms and policies.

Where subscriptions are purchased directly from LedGix or an authorized reseller, the terms displayed at the time of purchase will apply. See also the Refund Policy.

Deleting an application does not necessarily cancel an active subscription.

23. Availability of Services

LedGix aims to provide reliable Services but does not guarantee uninterrupted availability. Services may occasionally be unavailable because of maintenance, updates, infrastructure failures, internet failures, third-party outages, security incidents, or events outside our reasonable control.

Features may be added, modified, suspended, or discontinued as the Services evolve.

24. Disclaimer of Warranties

To the maximum extent permitted by applicable law, LedGix Services are provided on an “as is” and “as available” basis.

LedGix does not guarantee that Services will always be uninterrupted or error-free; that every calculation will be suitable for every jurisdiction; that every third-party integration will remain available; that every device or operating-system version will remain supported; that user-entered information is correct; or that generated business or financial outputs satisfy every regulatory requirement.

Nothing in this Agreement excludes warranties or consumer rights that cannot lawfully be excluded.

25. Limitation of Liability

To the maximum extent permitted by applicable law, LedGix and its owners, developers, affiliates, employees, contractors, licensors, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of or inability to use the Services.

This may include loss of profits, revenue, business opportunities, data, goodwill, or anticipated savings.

Nothing in this Agreement limits liability that cannot legally be limited or excluded.

26. Intellectual Property

LedGix names, logos, product names, software, interfaces, graphics, designs, documentation, and other proprietary materials may be protected by copyright, trademark, trade-secret, and other intellectual-property laws.

No rights are granted except those expressly provided by this Agreement.

27. Acceptable Use

Users must not use LedGix Services for unlawful activities; to violate another person’s rights; to distribute malware; to gain unauthorized access; to interfere with system operation; to commit fraud; to manipulate or circumvent subscriptions; to scrape protected information without authorization; to impersonate others unlawfully; to violate applicable sanctions or export restrictions; or to abuse LedGix infrastructure.

28. Changes to This Agreement

LedGix may update this Privacy Policy, Terms, and EULA as products evolve, features change, regulations change, infrastructure changes, or new LedGix applications are introduced.

The updated version will be published on this page with a revised Last Updated date. Where legally required, additional notice or consent may be provided.

Continued use following an effective update constitutes acceptance where permitted by applicable law.

29. Governing Law

This Agreement will be governed by applicable law and the competent jurisdiction associated with the legal entity operating the relevant LedGix Service, except where mandatory consumer-protection or data-protection laws require otherwise.

Nothing in this Agreement removes rights that users possess under mandatory applicable law.

31. Platform Legal Documents

The following platform agreements may additionally apply depending upon where a LedGix application was obtained.

Apple App Store

Apple Media Services and applicable App Store terms also apply to applications obtained through Apple’s platforms.

Google Play

Applications distributed through Google Play are additionally subject to applicable Google Play Terms of Service, billing rules, subscription rules, and other Google Play policies.

The LedGix EULA contained on this page governs the license granted by LedGix for LedGix software, subject to mandatory Google Play requirements.

32. Acceptance

By downloading, installing, registering for, accessing, purchasing, subscribing to, or using a LedGix Service, you acknowledge that you have read and understood the applicable portions of this Privacy Policy, Terms of Use, and End User License Agreement.

If you do not agree to the applicable terms, you should discontinue use of the relevant LedGix Service.
